ASSIGNMENT

Administrative and Financial Executive Direction, Purchasing Division.

JOB DEFINITION

Under the supervision of the tutor, the apprentice will participate in the support of Purchasing activities as well as the secretariat of the Administrative and Financial Department, Purchasing Division.

More specifically, he/she will perform the following tasks:

  • Administration of document management related to purchasing acts:
  • Management and monitoring of contract shipments to collect the signatures of suppliers and internal contacts, then notification of contractual documents (orders, contracts, protocols, letters of commitment, purchase orders);
  • Follow-up of the purchasing process on the workflow application (PAW: internal company application);
  • Updating of purchasing process indicators (document dispatch date, return date, etc.);
  • Computerized archiving in the company’s contract library;
  • Tracking of shipments and returns to suppliers (via DHL).
  • Secretariat of the Purchasing, Insurance, Central Management and Information Service departments:
  • Creation, modification and follow-up of SIGAR orders for the IT and Information Systems
  • Department, in collaboration with its buyers, contacts with suppliers;
  • Organization of meetings (face-to-face, Webex, Skype), travel management, missions;
  • Management committees: organization of meetings, framework notes, budget notifications.

REQUIRED PROFILE

Training:

  • Student from a professional administrative baccalaureate or a general baccalaureate preparing for a BTS GPME (Management of Small and Medium-sized Enterprises), DUT GEA (Business and Administration Management) or BTS Support for Managerial Action ( tray +2).

1 or 2 year apprenticeship contract.

Profile of the candidate:

  • Take an interest in management and business management;
  • Good oral and written communication (a good level in spelling is required);
  • Sense of organization and rigor for the development and monitoring of purchasing acts;
  • Be comfortable with numbers (especially when processing order data);
  • Interpersonal skills ;
  • Good knowledge of office tools (Microsoft Pack Office).
