Firehawk Aerospace, a propulsion-focused aerospace and defense company based in the Dallas, TX area, is undergoing expansion and is seeking a Senior Support Specialist for the Office of the Chief Engineer. The right candidate will perform integrated assistive function to this office and the broader engineering technical organization through a combination of project management, writing and editing, research, and high level administrative and relationship support functions. Sensitivity to confidential matters, a high level of professionalism, tact and diplomacy are paramount. Common tasks will include managing communications, coordinating schedules and calendars, preparing documents and reports, tracking and reconciling budgetary expenditures, attending meetings on behalf of the Chief Engineer, assisting in issue resolution, and performing other support duties as assigned.
Responsibilities:
- Provide high-level administrative support and assistance to the Chief Engineer and/or other assigned technical leadership.
- Perform clerical and administrative tasks including drafting letters, memos, reports, presentations, and other documents.
- Assist with coordination/scheduling of meetings, for both the Chief Engineer and additional members of the leadership team.
- Attend meetings on behalf of the Chief Engineer- taking notes, recording minutes, and compiling and distributing action items.
- Coordinates independent or special projects on behalf of senior leadership.
- Interfaces with external stakeholders including senior representatives of state, local or federal government agencies and/or private sector companies.
- Compose written communication and proofread documents for grammar, spelling, punctuation, and basic formatting.
- Compile and organize information from different sources to develop agendas, meeting materials, presentations, and reports.
- Track and monitor budget, gather information, and process expenditures for payment, and assist with budget preparation.
- Assist with the resolution of issues or conflicts by investigating/researching issues and making recommendations.
- Performs additional duties as assigned.
Desired Skills/Abilities:
- 3 years of related experience supporting executive or senior leadership teams in a technical setting.
- Ability to multi-task, change direction quickly, and thrive in a fast-paced, often high-pressure atmosphere while working with minimum supervision.
- Familiarity with working in ITAR/EAR environments.
- Proficiency in all Microsoft applications, especially Word and Outlook, Power Point, and Excel, including ability to maintain spreadsheets, contacts, distribution lists, etc.
- Proficiency in productivity software like JIRA, Confluence, etc.
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
