Your mission:

The Institute for Quantum Technologies (QT) in Ulm was founded in mid-2019 with the aim of developing precision instruments for space applications based on quantum technologies and bringing them to prototype maturity together with industry. It thus builds a bridge between basic research and industry. Together with the Institute for Satellite Geodesy and Inertial Sensors in Hanover and the Galileo Competence Center in Oberpfaffenhofen, the institute in Ulm plays a pioneering role in these fields of research and application. The research work of its four core departments Quantum Metrology, Quantum Information and Communication, Quantum Nanophysics and Quantum Control of Charged Matter Waves is carried out by the three cross-sectional departments Quantum Engineering, Integration of micro and nano systems and theoretical quantum physics supplemented and supported. The institute is interdisciplinary: theoretical basic research and experimental tests meet engineering implementation. The scientific activities of the institute are accompanied and supported by central and decentralized administrative processes.

Assistant to the institute management as well as the department and project managers: 

  • You set up new department secretariats and adapt them to new developments.
  • You support the institute and/or department management in all administrative matters.
  • You will process incoming and outgoing correspondence in German and English.
  • You prepare presentations in German and English.
  • You maintain contact with national and international authorities, committees and agencies.
  • They organize business trips at home and abroad, check the travel documents and take care of the accounting.
  • You will prepare signature-ready templates and applications for individual personnel measures, e.g. e.g. for recruitment, work references, etc.
  • You accompany new colleagues in the induction phase with administrative routines.

Processing and controlling:

  • You prepare project and work meetings, take minutes and create scheduled to-do lists in German and English.
  • You design an IT-based archiving and management system for documents.
  • You create and manage relevant documentation in national and international projects, keep an eye on deadlines and initiate correction processes if necessary.
  • You will support institute controlling, for example in the preparation of figures/data/facts, monitoring of time recording and other activities with SAP.
  • You organize national and international conferences, workshops, trade fair appearances and other presentations of the institute, taking into account human and financial resources.
  • You design information for the internet/intranet and maintain it.
  • You accompany project tasks within the framework of the management system.

Your qualification:

  • Completed commercial vocational training, e.g. B. as an office clerk or comparable qualification
  • Thorough and comprehensive knowledge of processes and responsibilities in large organizations
  • Proven knowledge of spoken and written English
  • Good and secure user knowledge of common office software (MS Office) and means of communication
  • Experience in project processing based on regulations
  • Experience with SAP, Excel or comparable databases
  • Computer knowledge regarding the creation and integration of pages in html platforms
    several years of experience in correspondence and (digital) document management
  • Personal experience and teamwork
  • personal and social skills as well as good manners and discretion
  • Knowledge of quality management desired
  • Several years of experience in controlling and/or accounting would be an advantage
    ideally experience in press and public relations
  • Thorough and comprehensive knowledge of the administrative processes at DLR is desirable
